About St Vincent de Paul Society
For more than 170 years we have been providing practical and compassionate support to people across Victoria whose daily struggles can include putting food on the table, paying essential utilities and ensuring their children remain at school to obtain an education.
Our organisation provides many services and programs, including soup vans, education programs, home visitation programs and VincentCare Victoria (VCV), which assist some of Victoria’s most vulnerable communities, such as people experiencing homelessness, the housing crisis and family violence, and the elderly.
Little bit about the role
The Operational Support Assistant is a vital communication link supporting Vinnies Retail by coordinating between internal teams, external stakeholders and the public. This role supports logistics, shop operations and special projects like volunteer recruitment. You’ll manage communications, handle administrative tasks and contribute to smooth, efficient operations that align with the values and mission of St Vincent de Paul Society Victoria.
Your responsibilities:
- Maintain a high level of professionalism while serving as the primary point of contact for donors, managing all inbound/outbound enquiries, coordinating communications and ensuring accurate processes are followed to achieve timely and effective outcomes.
- Manage multiple communication channels and technologies, resolve routine donor and customer issues, support special projects like volunteer recruitment, comply with procedures and ensure the secure handling of confidential documentation.
- Ensure all safety incidents are promptly reported and responded to, taking reasonable care for personal and others’ safety by identifying, resolving or escalating hazards using established procedures.
- Manage day-to-day risks in cooperation with SVDP’s safety protocols to maintain a safe workplace environment.
- Liaise effectively with internal teams—including Logistics, Warehouse, HR, Marketing, and Retail—and external stakeholders such as donors to ensure timely, cost-effective communication and resolution of routine issues.
- Escalate unresolved matters appropriately and undertake additional duties as directed by the Operational Support Team Leader to support the Society’s day-to-day needs.
- Comply with systems and procedures while maintaining high communication standards, contributing to team KPIs and pursuing continuous self-improvement to support the mission of St Vincent de Paul Society.
- Foster a cooperative and professional team environment by actively participating in meetings, supporting colleagues, contributing to problem-solving and promoting the organisation’s values through collaboration.
About you
You are a professional and reliable individual who thrives in a fast-paced environment. With excellent written and verbal communication skills, you bring strong attention to detail and the ability to multitask effectively. You take pride in your time management and problem-solving abilities, always approaching tasks with a positive, can-do attitude. You work well both independently and as part of a team and you align with the values and mission of the St Vincent de Paul Society.
More specifically you will have:
- Demonstrated previous experience with inbound and outbound calls.
- Strong ability to multitask, manage priorities and meet deadlines with attention to detail.
- Previous experience in administration, ideally within a transport and logistics environment.
- Proficiency with computer systems including MS Office, Teams, Outlook and scheduling systems.
- Previous experience in a Transport & Logistics environment would be an advantage.
