On the frontline and face-to-face, the St Vincent de Paul Society Victoria and its wide network of over 12,000 volunteers provide practical welfare support, advocacy and friendship for the most vulnerable members of our community. Key services include Vinnies Shops; Vinnies Soup Vans; support programs for people experiencing mental illness; home visitation; youth programs; assistance for asylum seekers and refugees; education and tutoring; and a range of other volunteer-run initiatives that assist people in need.

As part of our eCommerce team, you’ll play a vital role in connecting our products to customers nationwide, all while fostering a culture of continuous improvement and growth. 

 


The Role
As the Executive Assistant, you will be the backbone of the CEO’s office and a trusted partner to our Senior Leadership Team (SLT). You will manage the day-to-day operations of the CEO’s office, providing high-level administrative and project support. From coordinating complex schedules and preparing executive reports, to managing stakeholder relationships and organizing key events, this role requires someone who can juggle multiple tasks with precision and poise.

 

 

Key Responsibilities Include:
•    Overseeing the daily operations of the CEO’s office, managing schedules, and handling correspondence.
•    Supporting the SLT with meeting coordination, minute-taking, and follow-up on action items.
•    Preparing executive papers, reports, and presentations.
•    Facilitating communication between the organization and external partners, including government departments and community service stakeholders.
•    Coordinating travel, events, and off-site meetings for the CEO and SLT.
•    Ensuring strict confidentiality and professionalism in managing sensitive information.
•    Identifying opportunities to improve administrative processes and enhance the efficiency of the CEO’s office.

 

 

What We’re Looking For
We are seeking a dedicated and resourceful individual with the following qualifications and experience:
•    A degree in Business Administration or equivalent.
•    Extensive experience providing high-level executive assistance, ideally in a not-for-profit setting.
•    Exceptional organizational skills with the ability to manage multiple deadlines and competing priorities.
•    Strong communication skills—both written and verbal—with the ability to liaise effectively with diverse stakeholders.
•    Experience in project coordination and familiarity with SharePoint (desirable).
•    Ability to work autonomously and solve problems with a practical, solutions-oriented approach.
•    High degree of computer literacy, including advanced proficiency in MS Office (Word, PowerPoint, Excel, Outlook).
